Account & Profile Information
When a Farm Admin creates an account or provisions access for workers, we collect basic login credentials, including names, email addresses, assigned roles, and company association necessary to secure the account and provide role-based access.
Operational & Farm Data
We collect data entered into the app regarding farm operations. This includes:

Device Permissions (Camera & Photo Library)
The MushroomOps mobile application may request access to your device's camera and photo library strictly for operational features such as capturing photographs for quality inspections, disease tracking, and daily log evidence. We do not access your camera or photo library without your explicit, real-time initiation. Images are stored securely in our cloud storage associated with your organization.
Audit & Attribution Data
To maintain accountability, the app records which authenticated user created, modified, or resolved specific records. This is limited to the user ID and timestamp associated with each action.
Information We Do NOT Collect
- Precise device location or GPS coordinates
- Device identifiers or advertising IDs
- Contact lists, call logs, or SMS data
- Browsing history or cross-app tracking data
- Biometric data
- Financial or payment information within the app
2 How We Store Your Data
We utilize a modern, offline-first architecture to ensure the app functions reliably in environments with poor or no internet connectivity.
Local Storage
Data entered while offline is temporarily stored locally on your specific device using secure application storage. Once an internet connection is established, this data is securely synced to our servers. Authentication session tokens are also cached locally to enable seamless app access.
Cloud Hosting
All synced operational and account data is hosted securely on managed cloud infrastructure with industry-standard security controls. Uploaded images (inspection photos, disease evidence) are stored in secure, access-controlled cloud storage buckets scoped to your organization.
Data Retention
We retain your operational data for as long as your organization's account is active. Farm Admins may request data export or deletion by contacting us directly.
3 How We Use Your Information
We use the collected information strictly to provide and improve the MushroomOps service. Specifically, we use it to:
- Facilitate role-based access control, ensuring workers and admins only see data appropriate to their role.
- Sync offline data to the central farm database reliably.
- Provide AI-powered analysis and reporting on farm operations when enabled by the Farm Admin. Operational data may be processed by AI models configured by your organization to generate insights and reports.
- Generate operational reports, dashboards, and trend analytics for farm management.
- Maintain the security, integrity, and infrastructure of the application.
- Communicate important service updates or account-related notices.
4 Data Sharing & Third Parties
We are in the business of farm management, not data brokering. We do not sell, rent, or trade your operational or personal data to third parties.
Data is only shared under the following circumstances:
- Internal Farm Access: Data is visible to authorized users within your specific farm's organization based on the role assigned by the Farm Admin.
- AI Processing: When AI analysis features are enabled, relevant operational data is sent to the AI provider configured by your Farm Admin (such as Google AI or a self-hosted model). No personal data beyond what is necessary for the analysis is shared.
- Infrastructure Providers: We use trusted cloud infrastructure providers (hosting, database, file storage) to operate the service. These providers process data on our behalf under strict contractual obligations and do not use your data for their own purposes.
- Legal Compliance: We may disclose information if required to do so by law or in response to valid requests by public authorities (e.g., a court order or government agency).

We take the security of your agricultural data seriously. We implement industry-standard security measures, including:
- HTTPS encryption for all web, mobile, and API traffic to protect data in transit.
- Row-Level Security (RLS) policies on our database ensuring users can only access data belonging to their own organization.
- Secure authentication using PKCE-based flows and encrypted session management.
- Access-controlled storage with organization-scoped buckets for uploaded images and files.
While no system is 100% secure, we continuously monitor and update our security practices to protect your data.
6 Children's Privacy
MushroomOps is a B2B enterprise application and is not directed at children under the age of 13 (or the applicable age in your jurisdiction). We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such information, we will take steps to delete it promptly.
